As we expand into our new luxury studio, we are looking for a
dynamic and professional Admin, Procurement & Office Operations Coordinator
to join our team.

This position plays a vital role in ensuring that the studio runs seamlessly while supporting our designers, suppliers, and clients.

The Role

This is not just an admin job, it is the backbone of our operations.

You will be the link between suppliers, clients, and our creative team, ensuring that every moving part of the business functions efficiently.

From managing orders and supplier relationships to keeping the studio organized and presentable, you'll be a central part of building our reputation for excellence.

Key Responsibilities
Administration & Office Operations

  • Manage the smooth day-to-day running of the studio.

  • Oversee reception duties: calls, emails, courier deliveries, and client greetings.

  • Maintain well-structured digital and physical filing systems.

  • Assist with diary management, meeting scheduling, and travel arrangements.

  • Ensure the studio is always presentable, professional, and aligned with our luxury image.

Procurement & Supplier Coordination

  • Source, compare, and request supplier quotes for finishes, furniture, and fittings.

  • Process and track purchase orders, ensuring deadlines are met.

  • Develop strong working relationships with suppliers and contractors.

  • Manage deliveries, returns, and follow-ups to keep projects on track.

  • Coordinate samples and ensure the Hatchology Studio library is up to date.

Project Support

  • Support the design team with procurement documentation for client proposals.

  • Liaise with suppliers and contractors to coordinate installations and deliveries.

  • Monitor project timelines, ensuring procurement aligns with design deadlines.

  • Assist with styling and handover preparations to ensure clients receive a luxury experience.

Finance & Reporting

  • Capture and reconcile supplier invoices and purchase orders.

  • Support with project budget tracking and spend reporting.

  • Assist management with general financial administration where needed.

What We're Looking For

  • Minimum of
    2–3 years' experience
    in administration, procurement, or office coordination (experience in design/architecture industries is a plus).

  • Strong computer skills:
    Microsoft Office (Word, Excel, Outlook)
    and confidence with cloud-based platforms.

  • Highly organized with excellent communication skills (verbal & written).

  • A professional, polished presence that represents a luxury brand.

  • Valid driver's license and reliable transport (for supplier/site visits).
