Overview

Reporting: Position reports to the Senior Program Manager – Global Fund Programs

Duration: October 2025 – 31st of March 2026 (Extension depending on funding availability)

Organisational Background: Centre for Community Impact (CCI) formerly known as Johns Hopkins Health and Education in South Africa (JHHESA), is a South African local Health and Social Behaviour Change and Communication organisation, registered as a local Non-Profit Organisation (NPO) in the Kingdom of Eswatini (formerly Swaziland).

Since CCI’s early years under the stewardship of the Johns Hopkins University’s Centre for Communication Programs, CCI has been at the forefront of the response to Gender Based Violence (GBV), HIV, TB and STIs in South Africa.

Position Summary: CCI seeks to employ a Program Assistant.

The Program Assistant will support all Technical Leads and the Senior Program Manager with program coordination and administration support to ensure all X3 modules are well coordinated at a PR level related to documentation support.

The role will require experience with program coordination and support.

Responsibilities

  • Administration and Financial support
    • Provide administrative support for program activities, such as preparing materials and resources, communicating with participants, and assisting with marketing campaigns.

    • Organise and schedule meetings for the Programs Team working closely with their individual calendars.

    • Plan and prepare all relevant documents for meetings and participate in meetings taking minutes and preparing meeting reports.

    • Coordinate filing of all relevant documents using the online electronic based CCI filing system.

    • Coordinate travelling and logistical arrangements for field activities for the Program Technical Leads.

    • Prepare payment requests for program related procurement, petty cash claims and reimbursements for the Unit.

    • Source quotations and prepare procurement requests for Program Unit related low value procurement.

  • Program Coordination
    • Develop program Gantt charts and track program specific deliverables against set timelines, with a role to constantly remind teams accordingly.

    • Ensure follow-through on resolutions as identified in meetings.

    • Support the travel teams in organising any program related activities or events including workshops, trainings and stakeholder meetings.

    • Assist the team with planning and execution of programs and events.

    • Maintain and update accurate program records and databases.

    • Maintain program forms and paperwork and answer questions about program procedures.

    • Prepare reports on program activities, progress, and outcomes.

    • Collaborate with other teams to ensure programs align with the project’s goals and objectives.

Qualification and Experience

  • Bachelor’s degree or equivalent in Development Studies or related discipline.

  • At least 3 years project management experience in the field of HIV/AIDS is preferred.

  • Good computer skills with work experience using MS Office.

  • Good written and verbal communication skills.

  • Strong interpersonal communication skills.

  • Proven ability to work as a team member with multidisciplinary teams.

  • Valid driver’s license and willingness to travel extensively within South Africa.

Skills and competencies

  • Experience working in a funded HIV program.

  • Ability to plan and organize time effectively.

  • Attention to detail.
